Position Title: Executive Assistant
Location: Administrative Offices, 6532 Adelphi Road, Hyattsville, Maryland
Hours: Monday - Friday 8:30 am - 5:00 pm. Some evening hours required.
Salary: $36,453 and a generous benefits package.

Examples of Duties: Manages the Director’s Office: screens calls and visitors, handling whenever possible; opens, logs and files mail; serves as the RSVP contact for special events and functions; schedules and coordinates the Director’s appointments; contacts internal and external individuals and groups; develops, modifies, implements and monitors office procedures. Researches issues, compiles and analyzes data, and drafts correspondence and reports. Maintains the Policy and Procedures and Safety Manuals. Handles distribution of updates to the Circulation Manual. Handles donations of money and other gifts, including preparation of paperwork for the Finance Office. Organizes and maintains office files and records; orders supplies and prepares office work orders. Reviews Time Sheets and resolves problems; maintains leave records. Maintains the Professional Collection. Maintains the petty cash fund; prepares monthly report for the Finance Office. Handles requests for conferences, seminars and meetings, including researching and tracking costs and processing paperwork; makes travel, meeting and seminar arrangements for the Director. Provides support for the Board of Library Trustees: attends regular and special Board meetings and prepares minutes; prepares correspondence log and other paperwork; tracks expenses related to conferences and membership dues; supports the recruitment process for new Board members. Coordinates System recognition activities; purchases awards and refreshments. Handles the Sunday service schedule for the System: writes and distributes all related communications; schedules hourly and salaried staff. Trains, supervises and evaluates staff in supervisory line. Performs other duties or responsibilities that are related to the position.
Qualifications/Requirements: Bachelor’s Degree and four (4) years of experience providing administrative support to senior staff or an equivalent combination of training and experience which provides the required knowledge, skills and abilities. Extensive knowledge of standard office practices, procedures and technology. In depth knowledge of and skill in the use of business English, grammar, spelling, vocabulary and punctuation; basic arithmetic skills. Demonstrated ability to produce a wide variety of high quality communications. Skill using software applications to accurately and professionally communicate, create spreadsheets, use databases, maintain calendars, prepare documents and presentations. Excellent organizational skills. Skill in taking, interpreting, writing and producing minutes of meetings. Demonstrated ability to establish and maintain effective working relationships with diverse staff and external contacts. Demonstrated ability to exercise initiative and independent judgment, work in a high stress environment, work on multiple projects simultaneously and meet deadlines. Demonstrated ability to exercise tact and discretion and maintain confidentiality. Ability to work a flexible schedule when needed and to attend Board meetings. Supervisory experience or training; ability to supervise, train and evaluate staff. Work involves extensive sitting, use of computer and telephone, repetitive hand movements, reaching, stooping, bending and moving objects.
